Where Does Your Client Data Actually Live?
For most hosted business tools, the honest answer is a U.S. server, and for a firm holding sensitive client records, that is worth a closer look.

Data residency is a quiet question most business software never answers out loud: where does your data actually go? For Canadian firms holding sensitive client records, it is worth answering before a client asks.
The question nobody asks their software vendor
When you sign up for a hosted CRM, document tool, or practice-management platform, you are handing over your clients' information. Names, contracts, financial records, case files. The software works, the invoice is reasonable, and the question of where that data physically sits almost never comes up.
It should. Most popular tools run on large U.S. cloud platforms. Your data may be copied across data centres you will never see, governed by laws you did not choose. For some businesses that is an acceptable trade. For a firm that owes its clients a duty of confidentiality, it is worth a closer look.
Why data residency matters more than vendors admit
Three reasons it is not just paperwork:
- Professional obligations. Lawyers carry solicitor-client privilege and Law Society confidentiality rules. Accountants carry their own duties over client financial data. "We assumed the vendor handled it" is not a comfortable position if a client ever asks you to prove where their records live.
- Canadian privacy law. PIPEDA and its provincial equivalents set clear expectations for how personal data is handled. Keeping data in Canada makes those expectations far easier to meet, and far easier to explain.
- Foreign legal reach. Data held by U.S. companies can fall under U.S. law, including requests that reach data stored outside the country. Data that sits in Canada, on infrastructure that is not owned by a U.S. company, is simply not exposed in the same way.
None of this calls for paranoia. It just calls for knowing the answer before a client asks.
What Formaxis does to keep your data in Canada
We host the systems we build for you in Canada. Two options, depending on what your business needs:
- Canadian cloud. Your application and client data live in a data centre in Quebec, near Montreal. Not AWS, not Azure, not a U.S. provider.
- On-premises. For firms that want maximum control, we can run your system on dedicated hardware we manage, so the data stays on infrastructure you can point to.
In both cases, traffic between your users and the system is encrypted in transit over HTTPS. You own the system, you know where it lives, and you can tell a client exactly where their records are held.
AI without the border crossing
AI is genuinely useful for this kind of work: searching intake forms, summarising long documents, pulling figures out of PDFs. The catch is that most AI tools send your documents to a U.S. service to do it. For a regulated firm, that can quietly undo the entire point of keeping data in Canada.
We offer two paths, matched to your situation:
- Local AI for regulated work. The model runs on the same Canadian infrastructure as your data, so documents are not sent to OpenAI or any U.S. API.
- Cloud AI when raw capability matters more than residency, for businesses where that trade is fine.
You choose, with the trade-off explained plainly, rather than finding out after the fact where your files went.
The one honest caveat
We would rather tell you this up front than have you discover it later. There is one place data does cross the border: payment processing. Like most Canadian businesses, we use Stripe to handle card payments, and Stripe processes card transactions in the United States. That is limited to payment information, not your business records or client files. Everything that makes up your actual system and its data stays in Canada.
